Scheduling Portal

We make use of various scheduling tools that allow clients to book meetings and calls without the usual back-and-forth that produces 10 emails. This allows for quicker booking, less confusion and more flexibility should the need to cancel or reschedule arise. Meetings can be booked quickly with all the necessary information shared with all parties.

Email, SMS And Fax

We use traditional email, text messaging and faxing to quickly communicate with clients to exchange information, ask and answer questions and provide status updates. Sensitive documents are sent through email via secure file sending service. Emails, text messages and faxes are automatically added to the client’s file to ensure that important information is always at hand.

Phone And Conference Lines

Second only to email, phone calls serve as the main line of communication between us and clients. We are quite reachable by phone during business hours unless on another call or in another meeting. We don’t rely on a virtual assistant to take messages; rather, your voicemails go right to our phones and email ensuring that we have an opportunity to get back to you as soon as possible. When multiple parties are involved, we use advanced conference call software to facilitate.

Video Conferencing

Video conferencing allows for virtual meetings regardless of where we and clients are located. The lack of travel time, traffic and parking means all parties can relax and focus on the substance of the meeting without worrying about logistics. At the same time, everyone can see each other and pick up on body language and facial expressions, with little of the “personal element” lost. Video conferencing technology also provides an opportunity for screen sharing and whiteboarding so that everyone can follow along together, whether reviewing documents or diagraming trusts or transactions.

Client Portal

A personalized and custom client portal is established for each client. Key executed documents are made available through the portal, meaning clients never have to wait for us to be available for simple requests like copies of in-force estate planning documents. The client portal will also allow for secure transmission of files and information and provide clients with electronic invoicing and payment options.
